4. Why we use personal data

We use personal data for specific, legitimate and business-related purposes, including responding to commercial contacts and inquiries; evaluating partnership, sponsorship, press, event and business opportunities; understanding your profile, area of interest, timing and project needs; preparing, sending and negotiating proposals; managing client, partner, sponsor and supplier relationships; providing marketing, communications, PR, content, creative, sponsorship, activation, strategy and related services; managing press relations, journalist contacts, press rooms, accreditation, media requests and editorial communications; processing recruitment and careers applications; sending newsletters, mailing communications, institutional updates and commercial communications, where permitted; operating, improving, monitoring and securing our website; measuring website performance and understanding audience behavior; running analytics, tags, pixels and digital campaign measurement, subject to cookie consent where required; producing reports, clippings, coverage summaries, sponsorship reports and institutional records; documenting events, activations, paddock activities, race weekends, press interactions and client deliverables; protecting our rights, property, brand, website, systems and legal interests; and complying with legal, regulatory, tax, contractual and accounting obligations.

5. Legal bases for processing

Depending on the context, we may rely on one or more legal bases to process personal data.

Under the LGPD, these may include consent, performance of contract or preliminary procedures related to a contract, compliance with legal or regulatory obligations, legitimate interests, regular exercise of rights, and protection of credit where applicable.

For individuals located in the European Union or the United Kingdom, where GDPR or UK GDPR applies, we may rely on consent, performance of a contract, compliance with legal obligations and legitimate interests.

When you submit a form through our website, we collect the information included in that form to understand your request and respond appropriately.

Our contact form may collect name, company or brand, email, phone or WhatsApp, office reference, profile, area of interest, estimated timing and message.

We use this information to classify the request, route it internally, respond to you, assess commercial relevance, evaluate partnership opportunities and, where appropriate, prepare proposals or follow-up communications.

Submitting a form does not create a client relationship, contractual obligation or guarantee of response, proposal, acceptance or service delivery.

7. Press, media and accreditation data

Because Q3 Comms works with communications, PR, media relations and motorsport environments, we may process professional data from journalists, media outlets, creators, photographers, broadcasters, press officers and editorial teams.

This may include professional contact details, media outlet information, accreditation data, interview requests, access requests, communication history, coverage records, photographs, videos, press room activity and materials related to editorial or institutional coverage.

We may use this data to manage press relations, coordinate media access, distribute press releases, respond to editorial requests, organize interviews, monitor media coverage, manage press rooms and prepare reports for clients, partners, sponsors, championships or events.

Q3 Comms may send newsletters, institutional updates, press communications, invitations, commercial communications and other professional messages.

We may use tools such as Mailchimp to manage newsletters, mailing lists and email campaigns. When you subscribe to a newsletter or authorize communications, your data may be processed by that platform according to its own privacy and data processing terms.

You may unsubscribe from marketing emails at any time using the unsubscribe link in the message or by contacting [email protected].

Transactional, contractual, legal, service-related or press communications may still be sent where necessary, even if you opt out of marketing communications.

11. Cookies, analytics and tracking technologies

Our website may use cookies, tags, pixels, scripts, local storage and similar technologies to operate the site, improve performance, understand audience behavior, measure campaigns and support embedded media.

These may include tools such as Google Analytics, Google Tag Manager, Meta Pixel, LinkedIn Insight Tag, Hotjar or Microsoft Clarity, YouTube or Vimeo embeds, Google Fonts or Adobe Fonts, and other similar technologies.

We do not sell personal data.

Where third-party providers process data on our behalf, we seek to work with providers that apply reasonable technical, organizational and contractual safeguards.

13. International transfers

Because Q3 Comms may operate with international clients, partners, tools, service providers, cloud platforms and digital technologies, personal data may be transferred to or accessed from countries outside Brazil, including the United States, European Union, United Kingdom or other jurisdictions.

When required by applicable law, we will use appropriate safeguards for international transfers, such as contractual protections, data processing agreements, adequacy mechanisms or other legally recognized transfer mechanisms.

14. Data retention

We retain personal data only for as long as necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law, contract, legitimate interest, legal claim, audit, tax or regulatory obligation.

As a general reference, commercial contact data may be retained while there is an active relationship, business interest or legitimate professional purpose; proposal and client data may be retained for contractual, commercial, accounting and legal purposes; newsletter and mailing data may be retained until you unsubscribe, opt out or request deletion, subject to legal and operational records; recruitment data may be retained for up to 24 months, unless otherwise required or authorized; press and accreditation data may be retained for as long as necessary for press relations, event records, media history, institutional records or legal purposes; event images and audiovisual records may be retained as institutional, editorial, historical, reporting or client-deliverable materials; and technical logs and cookie data may be retained according to the applicable tool, cookie duration, security need or analytics configuration.

15. Security

We adopt reasonable technical, administrative and organizational measures to protect personal data against unauthorized access, loss, misuse, alteration, disclosure or destruction.

However, no digital environment is completely secure. You should avoid sending highly sensitive information through website forms or unsecured channels unless strictly necessary.

Depending on applicable law and your location, you may have rights regarding your personal data, including the right to confirm whether we process your personal data; access your personal data; request correction of incomplete, inaccurate or outdated data; request anonymization, blocking or deletion of unnecessary, excessive or unlawfully processed data; request portability, where applicable; request information about data sharing; withdraw consent where processing is based on consent; object to certain processing activities; request deletion of personal data processed based on consent, subject to legal exceptions; request review of automated decisions, if applicable; and lodge a complaint with a competent data protection authority.

To exercise your rights, contact us at: [email protected].

We may need to verify your identity before responding to your request. We may also retain certain data where required or permitted by law, contract, legitimate interest, legal claim or regulatory obligation.
